Position Overview:

The role supports approximately 8 professionals as well as back up support to other M&A professionals as needed. This includes managing their international travel (including visa and passport issues), expense reports, ad hoc presentations and daily support needs. The ideal candidate will have experience working as a team, excellent communication skills, database management and interaction with senior level executives and global field locations.

Function Specific Activities:

Duties

  • Schedule domestic/international travel arrangements to include air, hotel and ground transportation and visa/passport requirements.
  • Answer all incoming phone calls and handle or redirect as appropriate.
  • Respond to Company/Department-related requests for information in principal's absence.
  • Maintain calendar for principal(s).
  • Assist with managing transaction database and preparation of status reports.
  • Identify, classify, maintain, and protect files, documentation and sensitive information consistent with record handling and retention requirements.
  • Protect the Company and all Company information against unauthorized disclosure, eavesdropping and legal exposure.
  • Coordinate internal and external meeting logistics (e.g., facilities, audio-visual requirements and food services).
  • Compose correspondence (e.g., memos, e-mails, letters, responses to requests and inquiries) for own or principal signature.
  • Create and track purchase orders.
  • Assist with budget preparation and track spending against projects.
  • Input travel expenses into computerized business expense form.
  • Troubleshoot issues related to outstanding expense reports and invoices.
  • Maintain "tickler file" to ensure principals have all relevant and required meeting materials.
  • Troubleshoot day-to-day issues (e.g., equipment service issues, missing passport, technology issues, etc.) in order to promote the smooth efficient operation of the department.

Education

  • High school diploma; GED equivalent

  • Knowledge Transfer: Ability to learn and train others on the use of Company-related or department-specific equipment and assets (i.e., transcription equipment, pagers, cell phones, databases, KO Need, Lotus Notes libraries). This includes the ability to present information in a logical manner and check for understanding to ensure transfer of knowledge and skills.
  • Procurement: Knowledge of the processes within the organization to purchase and maintain inventory on capitalized and non-capitalized materials, supplies and services to provide a competitive advantage.
  • Using Specialized Software Programs: The ability to learn and operate relevant specialized software programs (e.g., Adobe Acrobat, Photoshop, Pagemaker, Access, MS Project) for creating manuals, brochures, newsletters and project management input/tracking. This includes maintaining current knowledge and keeping up with new releases in relevant programs.
