Position Overview:

This role provides administrative support to the General Manager, Leadership Team and associates in a field-based manufacturing location. 

Function Specific Activities:


  •  Evaluate the most time-effective and cost-efficient method when utilizing courier or shipping services. 
  • Order office supplies and maintain inventory to ensure availability of resources. 
  • Review expense reports and invoices for completeness and accuracy according to Company policies. 
  • Enter expense reports and invoices into department-specific tracking database to generate data for analysis. 
  • Maintain department-specific paper files (i.e., categorized, numeric) for easy access and retrieval. 
  • Answer all incoming phone calls and handle or redirect as appropriate. 
  • Compose correspondence (e.g., memos, e-mails, letters, responses to requests and inquiries) for own or principal signature. 
  • Hand deliver time-sensitive documents. 
  • Manage phone coverage utilizing phone back-up procedures to ensure calls are answered. 
  • Review, organize and distribute incoming and outgoing mail. 
  • Prioritize and process incoming and outgoing mail. 
  • Transcribe memos, messages and meeting notes from dictaphone, voicemail or flip charts for file and/or future reference. 
  • Type, edit and proofread correspondence (e.g., memos, e-mails, letters, text presentations, status reports, briefs, pleadings, motions). 
  • Register, meet and escort visiting guests. 
  • Troubleshoot day-to-day issues (e.g., equipment service issues, missing passport and computer problems) in order to promote the smooth, efficient operation of the department. 
  • Identify internal/external training sources and cross-training opportunities and implement training. 
  • Manage department inventory (e.g., loaner laptop, digital cameras, Omninote) and provide instruction on use. 
  • Maintain and update department-specific library consisting of reference materials, videos, publications, photos, etc. 
  • Discuss operating expenses (e.g., actual, outstanding, projected) with principals to ensure most efficient allocation of financial resources. 
  • Input payroll hours into system to ensure payment to associates or external service providers. 
  • Facilitate onboarding of new hires including I-9 verification, benefits enrollment, payroll, etc. 
  • Manage third party services, such as uniform, cleaning, food trucks, etc. Supervise cleaning crew.
  • Finance support for incoming invoices, PO reqs, and expense reports; this includes logging and routing all incoming invoices from suppliers and vendors
  • Organizing and managing all engagement, such as all employee meetings, community services events and training opportunities, including training records management

Educational Requirements:

  • High school diploma; GED equivalent

Experience Requirements:

  • At least 1 year of related work experience
