Position Overview:

Traffic Managers manage the logistics of all projects between the project management and creative teams. This includes owning and managing the agency workflow operations including resource planning and management. Working with the agency team, the Traffic Manager will assign specific resources to the required project tasks including monitoring resource needs on a daily/weekly basis in order to meet project deadlines. The Traffic Manager will assess, adapt and maintain the integrated work flow process to manage the daily trafficking of design, copywriting, editing, print and fulfillment of all communication materials.

Function Specific Activities:

Specific job responsibilities include:

  • Identify and establish integrated traffic workflow process to improve efficiency and accuracy of project development, including appropriate routing and approval cycles
  • Manage intake of projects for the agency while working with the Project Management Lead and Studio Manager in establishing a workflow process including prioritization and delegation of projects to project managers
  • Collaborate with project teams to understand project scope, resource level of effort and project deadlines throughout the project lifecycle
  • Manage resource allocation based on project needs while identifying any gaps and/or risks in resource constraints on a daily basis this includes managing the personal time off (PTO) calendar with all resources
  • Distribute assignments to agency team in collaboration with the Project Management Lead, Creative Director and Studio Manager communicating client review dates and due dates
  • Partner with Operations Manager on Workfront responsibilities which include standing-up resource management component, bi-weekly and quarterly billing and daily, weekly and monthly reporting
  • Monitors overall status of projects with the project management team for mitigation against deadlines and resource constraints
  • Leads weekly project status and resource management meetings with the agency team including defining meeting objectives, structure and maintaining all necessary meeting notes
  • Partner with the Project Management Lead in leveraging all resources in order to meet utilization targets
  • Work within established frameworks to select and engage suppliers in support of projects as needed
  • Ensure supplier SOWs and engagements operate within defined process/procedure
  • Manages third party vendor relationships for project needs (i.e. printers) including supporting vendor invoicing process and billing in partnership with Operations Manager
  • Establish and maintain protocol for file structure, file naming conventions and versioning for files stored in project folders on server
  • Enforce and validate quality assurance has taken place by ensuring proofing and other quality measures are completed on all projects
  • Ensure that all team members are prepared for and attend all scheduled meetings (i.e. internal reviews, client meetings and departmental meetings) by building these meetings into schedules
  • Identify skillsets of resource pool to assign optimal resource(s) against each project

Education

  • Bachelor's degree required
