Position Overview:

The Event Coordinator will be responsible for coordinating on campus meetings and events (e.g., team/department meetings, receptions, customer events), as well as supporting Global Event Managers in all aspects of project execution and coordination of logistics (e.g., shipping, receiving, inventory management). Additionally, the role will provide full project financial reconciliation, including tracking SAP actuals, internal costs, and vendor invoices. The Event Coordinator will be expected to utilize our Meetings & Events technology solutions while fulfilling the job duties (e.g., Cvent, EMS, Guidebook). This position reports to the Sr. Manager, Conference Centers and Meeting Services, and will work with extended team members from Meetings & Events.

Function Specific Activities:

Function Related Activities/Key Responsibilities (Top 5-8 core responsibilities)

  • Project financial reconciliation, including tracking SAP actuals, internal costs, vendor invoices
  • Processing purchase orders request, (invoices, goods receipts, vendor payments and follow-up)
  • Setting up vendors in our Procure to Pay system
  • Reconcile monthly Visa purchasing card and American Express statements
  • General project support (administrative tasks and assistance with meetings and events)
  • Project related shipping, receiving, and inventory management
  • Create and maintain regular event status reports and post-event recap / debrief reports

Education Requirements:

  • Bachelor's Degree Preferred

Related Work Experience:

  • 3-5 years of event coordination experience or comparable work experience

Travel:

  • Domestic and international travel may be required (approximately 5%). Additionally, weekend and evening work will be required depending on events being supported.
