Job Description Summary

Provides secretarial support to an office, BU, department etc.; types and formats a variety of material; coordinates internal and external meetings; manages the appointments and schedules of staff in the unit; makes travel arrangements; uses office equipment such as photocopiers, faxes and printers; performs basic maintenance. Individual contributor that works under limited supervision; applies subject matter knowledge; requires capacity to understand specific needs or requirements to apply skills/knowledge.

Function Specific Activities:

Duties

  • Manage incoming and outgoing phone and email communications as required.
  • Manage incoming mail and ordering of office supplies for the team(s).
  • Calendar management - scheduling meetings for both internal and external attendees, and the use of audio & video conferencing technology.
  • Offsite meeting management - supporting the planning and delivery of major offsite team meetings and conferences.  Some US domestic travel may be required.
  • Visitor management - coordinating onsite visitor security, logistics, and meeting itineraries.
  • Travel management - coordinating travel arrangements and itineraries for both domestic and international trips.
  • Utilize the Concur system to process travel and P-Card expenses.
  • Process purchase orders and invoices using the Coke Shuttle and SAP systems.
  • Utilize Excel to maintain spreadsheets and lists on behalf of the team(s), including the tracking of departmental budgets.
  • Utilize PowerPoint to coordinate presentations on behalf of the team(s).
  • Organize the shipping of packages to international recipients.
  • Administer programs, projects, and/or processes specific to the operating unit served.
  • Take notes during meetings as required, to document projects and action items.

EDUCATION:

  • High school diploma or GED required.
  • Some college strongly preferred.
  • Some business administration and/or marketing courses preferred.

 

PROFESSIONAL EXPERIENCE:

  • Excellent written & spoken communication.
  • Ability to maintain strict confidentiality on highly sensitive matters.
  • Keen ability to work independently and multi-task on a variety of administrative projects.
  • Exceptional ability to meet project deadlines and maintain flexibility.
  • 5+ years demonstrated experience in an Executive Assistant role.
  • Demonstrated experience in coordinating projects.
  • Advanced knowledge of Microsoft Office applications, SAP and Concur preferred.
